The Accountability Assistant will ensure feedback channels and timely reporting of all medical data in support of the Medical Teams International (MTI) in Gedaref. This position requires commitment and understanding of MTI Mission and Statement of Faith. 

Handle the implementation of beneficiaries’ feedback channels that are relevant to beneficiaries and field staff, such as exit interviews and complaints/suggestions boxes. These include the design and administration of data collection, focus group discussions (FGD) and reactive feedback mechanisms, consolidating client feedback, identifying key themes and challenges or opportunities to respond to, and reporting these to the management team for a decision on how to respond. The position holder records and monitors feedback and closes the case with beneficiaries, refers/escalates cases based on the type of feedback received, discusses the decisions taken, and receives and responds to additional feedback and questions.

The job holder will be responsible for the feedback channel for all the areas, conducting field visits, surveys, FGD, and individual meetings as well as drafting reports and supporting the staff.

Responsibilities:

Feedback Planning and Implementation

  • Ensure that the feedback channels for all areas are in place and appropriate for the affected population: this may include conducting field visits, surveys and facilitating FGD, and running individual meetings with communities.
  • Generate reports on the implementation and use of feedback channels, per project result, including limitations and challenges.
  • Assess the utility and efficiency of the established mechanisms for children and adults and propose recommendations for improvements.
  • Provide support, advice, and training, where applicable for the management of beneficiaries’ feedback.

Feedback Monitoring, Reporting, and Response

  • Ensure that feedback from all feedback mechanisms is collected and reported.
  • Aggregate and disaggregate beneficiaries’ feedback (according to gender, age, status, disability, sector, risk level, and other beneficiaries’ appropriate disaggregation).
  • Present statistics on feedback received and feedback content in clear formats to highlight feedback trends, as well as synthesize qualitative feedback in ways that provide the detail that the program team will need to have an appropriate response.
  • Analyze key themes, challenges, and opportunities for program improvement.
  • Keep a record of how beneficiary feedback has been responded to through information collection and data analysis.
  • Make sure the feedback loop with clients is closed within the agreed timeline to acknowledge their feedback and respond to them about what the MTI has done in response to feedback.
  • Report on the number of cases that are closed/responded to and the timeliness of response.

Human Resource Management

  • Maintain open and professional relations with other team members while promoting strong team spirit.

Coordination and Representation

  • Under the direct supervision of the MEAL Manager and the Accountability Officer, the Accountability Assistant will work closely with the Health and Nutrition, and Project team for support on areas of Accountability and establishment of feedback Mechanisms.

Minimum Qualification, Skills and Experience Required:

EDUCATION, LICENSES, & CERTIFICATIONS                                                                                                                   

  • Ability to effectively communicate in English both in verbal (i.e., day-to-day discussions, team meetings) and written (requirements and design specifications) form, as well as an overall ability to be clear and concise in all communications.
  • Strong analytic curiosity and innovative problem-solving skills using a system thinking approach.
  • Demonstrable ability to work both independently and in a dynamic, cross-functional team structure.
  • Demonstrable ability to establish and maintain working relationships across all departments and levels of the organization.
  • Knowledge of Health, and Nutrition. 
  • Knowledge of monitoring and evaluation methodologies, including logical models, conceptual frameworks, and assessment/evaluation.
  • Demonstrated experience of implementing beneficiary complaint and feedback mechanisms.
  • High proficiency in Microsoft Word and Microsoft Excel.
  • Preferred knowledge of mobile data collection tools such as Kobo Collect or CommCare.
  • Familiarity with information management systems and analysis software is a plus.
  • Effective, high-quality communication, writing, and interpersonal skills are essential.
  • Ability to work under pressure, long work hours, and high workload.
  • Ability to independently organize work and prioritize tasks.
  • Self-motivated, honest, highly responsible, and punctual.
  • Ability to work both independently and as part of a team.

EXPERIENCE                                                                                                                                                                                    

  • Bachelor’s degree in social sciences, systems science, and/or other relevant fields with at least three years of relevant professional work experience.
  • Minimum of two years’ experience, preferably in an international NGO, in a similar role/with similar responsibilities.
  • Demonstrated understanding of direct monitoring and evaluation experience, specifically in the humanitarian and development context.
  • Demonstrated experience developing tools and systems for, and building capacity of others in skills related to, program tracking and documentation.

PHYSICAL CONDITIONS                                                                                                                                

  • This position requires work at Gadaref and 85% travel to field offices that MTI working in remote areas with very basic living conditions.
